Overview

The topics in this online help menu follow the flow of the screens as you use them to input your data for Trademark Registrations or Renewals. To find a help topic for a particular screen look for the name of the screen in the help file menu.

If you are an Individual or Organization, who is not a registered Trademark Agent, you may bypass the Agent sections located in this help file. These sections contain topics that are only applicable to Agents. They contain information about screens that can only be viewed by Agents who are registering or renewing trademarks on behalf of their clients.

Fields that are required have the word required in brackets and are red in colour “(required)”. These fields must be completed when they show on a screen. Other fields that do not have the required label beside them are considered optional and you may or may not choose to enter data into these optional fields.

Sign in screen

Sign in

Use this screen to sign into the Trademark Registration and Renewal web application. Your account credentials (Username and Password) allow you to securely access all Innovation, Science and Economic Development Canada online services.

Follow the steps below to sign into the application.

Note: Login credentials fields are required and they are case sensitive.

Note: If the box is selected, you remain signed in even if you accidentally close your browser without clicking the Sign out button.

If the Keep me signed in box is not selected, you are signed out if you accidentally or purposely, close your browser, without using the Sign out button.

Sign up

New Users can use the Create an account link located at the bottom of the Sign up portion of the screen. New Users need to create a login Username and Password. You will use this information to securely access all Innovation, Science and Economic Development Canada online services.

Renewal of a trademark

You can renew all of the goods or services associated with your trademark registration or you can choose to renew only a portion of the goods or services associated with your trademark registration.

Adjusted renewal fee

This topic contains the screens associated with paying an adjusted renewal fee.

Adjusted renewal fee search

This screen can be used in the circumstance that an Adjusted Renewal Fee Notice has been issued to the applicant and the Due date has not expired.

Select your search by clicking the radio button beside the method you want to use.

The Advanced search allows you to enter criteria that can enlarge or narrow your search.

Note: Searching by value All provides the widest search results.

Renewal of a trademark

This topic contains the screens associated with renewing or partially renewing a trademark.

You can renew all of the goods or services associated with your trademark registration or you can choose to renew only a portion of the goods or services associated with your trademark registration which is known as a partial renewal. Note: A partial renewal can be submitted online only if the goods or services in respect of which the trademark is registered are grouped according to the classes of the Nice Classification, all the goods or services grouped in a class are being renewed, and the remaining goods or services are being deleted.

The Advanced search allows you to enter criteria that can enlarge or narrow your search. There is a limit of 100 results per search.

Renew a Trademark screen (one Trademark selected)

Use this screen to review your Trademark details. They are displayed on the screen.

Use this screen to enter the e-mail address where the renewal certificate and the acknowledgement notice should be sent.

Renew a Trademark screen (more than one Trademark selected)

Use this screen to review your Trademark details by clicking the trademark in the Trademark column. You are taken to the Trademark details screen for that particular trademark. Click the Return to renewal search button to return to the Search results screen.

Use this screen to enter the e-mail address where the renewal certificate and the acknowledgement notice should be sent.

To add additional email addresses, enter each into the field located in the Correspondence section of the screen and click the Add button.

Partial Renewal of a Trademark screen

Use this screen to review your Trademark details.

Note: When you deselect or select statement of goods or services, the selection button becomes checked or blank and the entire line changes colour.

Adjusted renewal fee

This topic contains the screens associated with paying an adjusted renewal fee.

Adjusted renewal fee search

This screen is used in the circumstance that an Adjusted Renewal Fee Notice has been issued by the Office and the Due Date has not expired.

Select your search by clicking the radio button beside the method you want to use.

Search by registration number

This search allows you to search by Registration number.

Enter your registration number in the Registration number field. This is a required field.

Search all

The All search allows you to locate all adjusted renewal fee transactions for your sign on identity. There is a limit of 100 results per search.

Click the option All and then click the Search button.

Use this screen in one of the following ways:

Payment method

Use this screen to make your payment. Choose your payment method. The methods of payment available to you, for example credit card, are listed on the screen.

Pay with a Credit Card

If you select the Pay with a Credit Card button, you are taken to a screen where you can enter your credit card detail and click the Process Transaction button to complete your credit card payment.

You may also select the Cancel Transaction button to return to the Payment method screen.

Pay with my CIPO deposit account

If your payment method contains the CIPO deposit account you can select the Pay with my CIPO deposit account button you are taken to a screen where you can select your account and click the Pay now button to complete your payment.

You may also select the Return to previous page link to return to the Payment Method screen.

Payment details

Use this screen to view and print your transaction record.

Click the Continue button to proceed to the next screen.

Electronic payment confirmation

The Electronic payment confirmation screen contains your confirmation number and allows you to take the following actions on your transaction when you click a selection shown in the Documents column. You can:

You may also click the Sign out button if you are done or you may click one of the selections on the menu shown at the left hand side of the screen.

Transaction history

Use this screen to search for your transactions history using allowable criteria and clicking the Search button.

You may search by:

The End date field is the only required field. It always defaults to the current date.

Note: The Start date cannot be a date later than the End date. Example: If you select January 01, 2018 as your end date then your start date must be any date before January 01, 2018.

You may also call up this screen, enter no data, and click the Search button. The resulting display shows you all transactions available to you.

Transaction history search results screen

Use this screen to view the results of your history search.

The Transaction history table displays the results of your search criteria.

Actions to take on search results

Depending on how many results you receive, you can choose to look at the entries in groups of 10, 25, 50, 100, or all entries.

The table columns can be sorted using the up and down arrows located in the column headers. You may sort by:

You may print receipts and any documents by clicking the appropriate link located in the Documents column of the screen.

Note: Receipts are available in both PDF and html formats. Documents such as Certificates are only available in PDF format.

Sign out

Look for the Sign out button in the top right hand side of your screen. Click the button to sign out of the application.

Problem report

If you are experiencing technical problems, you can click Problem Report from the left menu. This will forward you to a Technical Problem Report web page. The Technical Problem Report web page allows you to enter information pertaining to your technical problem. When you have completed entering all of the problem information, click the Submit button.

Useful Tips

Each tip is listed below in bold lettering followed by its description beneath.

How to view help

It is recommended that you open the help file in a new window. You can then resize your application screen and your help screen available while you complete the fields on the screen. If this is not possible then you can open the help file in a new tab and click between your application screen and the help file screen to get the needed information about completing the field(s) of the screen.

Required fields

The screen itself tells you whether or not you need to enter data into a field.

When a field requires input you will see a red asterisk (*) and the word (required) in red and in brackets.

Switching languages

The application is fully bilingual. You can switch the application languages by click the Language hyperlink Français or English at the top right corner of each page.

Session timeout

When you sign into the application, the system creates a session.

When no activity is performed for a period of time, a warning prompt displays to inform you that the session is about to expire. You may press the Continue session button to continue the session or you may press the End session now button to end the session.

If the session expires, your are signed out of the application and the message screen informs you that the session has expired. You may click the Sign in button to sign back into the Trademark Registration and Renewal application.

Icon legends

Throughout the application you may see icons that perform actions. Move your mouse over the icon to view the action that the icon performs. The name of the icon appears on the screen.

Below is a list of the icons and what they mean. The icon is shown below follwed by its meaning.

Edit icon - The Edit graphic icon consists of a grey square outlined in black with a black pencil on a 45-degree angle through the top right side.

Remove icon - The Remove graphic icon consists of a black wide letter x. This button deletes the item you click on.

Successful payment icon - This graphic icon consists of a small green circle with a white checkmark inside it. It is used to denote the Successful payment status

In proces icon - This graphic consists of a small red circle with a white checkmark inside it. It is used to denote that a Registration or a renewal is In Process.

Pending icon - This graphic icon consists of a small brown circle with a white interior and has a clockface in brown inside it. It is used to denote that a registration or renewal is Pending.

Cancelled payment icon - This graphic icon consists of a small red circle with a white interior and has a red x inside it. It is used to denote the Cancelled payment status.

Cart icon - This graphic icon consists of a solid dark coloured shopping cart with a white plus sign inside the shopping cart basket. It is used to denote two things. If the icon is present in the In cart column then the icon denotes that the item is in the Cart. If the icon is present in the Actions column then the item(s) can be sent to the Cart.

Icon signifying the item is in the cart - This graphic icon consists of a solid dark coloured checkmark. It is used to denote that an item is in the Cart.

Issue icon - This graphic icon consists of a red coloured circle with a white exclamation mark in its centre. It is used to denote that an item has an outstanding issue that requires resolution. You may contact the Office of the Registrar if the issue persists.
