Login

The “Login” web page is the main entry point for the Trademarks Registration and Renewal web application.

In order to access the Trademarks Registration and Renewal web application, you must enter your Login credentials (i.e. your Username and Password) in the appropriate fields. This information is mandatory.

If you have forgotten your “Username”, “Password” or want to “Create an account”, select the appropriate link located near the bottom of the Login web page. You will be re-directed to a new “Access Your Account” web page in which you can manage your Login credentials and account.

Home

Once you have logged into the Trademarks Registration and Renewal web application, the “Home” web page will appear.

The “Main menu” is located on the left side of every web page.

You can use the main menu to navigate to the corresponding section of the Trademarks Registration and Renewal web application.

Listed above the main menu is the “Breadcrumb trail” feature.

The “Breadcrumb trail” allows users to navigate each web page within the Trademarks Registration and Renewal web application.

Selecting the individual descriptions within the “Breadcrumb trail” will link you to the appropriate web page. You can use the “Breadcrumb trail” as a navigational aid to keep track of your current location or to move to another web page.

Search

You can search for a specific Trademark by clicking on the word “Search” within the “Home” web page

You can also conduct a search by selecting “Search” from the “Main Menu”.

Once “Search” is selected, you can query Trademarks eligible for Registration and eligible for Renewal.

How to Search

The “Search Page Instructions” are located below the “Privacy Notice”.

Specific instructions on how to conduct a search can be obtained by clicking on the embedded links within the instruction titles.

You must select a transaction type from the drop down menu in order to conduct a search.
A selection from the drop down listing is mandatory for “Select a Transaction Type”.

Trademarks eligible for registration can be searched by application number, applicant name and trademark name.

Trademarks eligible for renewal can be searched by application number, registration number, owner name (agents only), and trademark name (agents only).

Search Results

Your search results will be listed in a table format.

There are links embedded in the descriptions within the “Trademark” and “Actions” columns.

You can select the item within the “trademark” column to obtain Trademark details

You can select the “File a declaration of use” link within the “Actions” column to start the registration process.

You can select the “Request an extension of time” link within the “Actions” column to request an extension of time to submit a declaration of use

Registration

The “Registration” feature is specific to Agents only.

Select “Registration” from the main menu.

You can search for Trademark applications by using the “Date Filter”.

A selection from the drop-down listing is mandatory.

Your search results will be listed in a table format and the columns can be manipulated as follows:

  • The “Application Number” column can be sorted from lowest to highest
  • The “Due Date” column can be sorted from most recent date or oldest date
  • The table results can be manipulated by showing specific number of entries
  • The “Actions” column can be sorted by the various actions
  • The “In Cart” can be sorted from lowest to highest amounts
  • The “Previous / Next” feature allows you to view the next amount of entries

The “Page Instructions” are located near the top of the Registration web page.

Specific instructions pertaining to a Registration can be obtained by “expanding”. the left indicator to “Page Instructions” title.

Any “Notes” pertaining to your search will be listed near the top of the Registration web page with a “Bull horn” icon.

Renewal

The “Renewal” feature is specific to Agents only.

Select “Renewal” from the main menu.

You can search for Trademark applications by using the “Date Filter”.

A selection from the drop-down listing is mandatory.

Your search results will be listed in a table format and the columns can be manipulated as follows:

  • The table results can be manipulated by showing specific number of entries
  • The “Application Number” column can be toggled ascending and descending order
  • The “Trademark” column can be alphabetically sorted from (A to Z) or (Z to A)
  • The “Renewed Effective Date” column can be sorted from most recent date or oldest date
  • The “Actions” column contains a “Renew” link that can be selected to renew specific Trademarks
  • The “In Cart” can be sorted from lowest to highest amounts
  • The “Renew All” or “Renew selected” buttons to renew specific or all Trademarks
  • The “Previous / Next” feature allows you to view the next amount of entries

The “Instructions” are located near the top of the Renewal web page.

Specific instructions pertaining to a Renewal can be obtained by “expanding” the left indicator to “Instructions” title.

Any “Notes” pertaining to your search will be listed near the top of the Renewal web page with a “Bull horn” icon.

Some “Notes” will contain a “Gavel” icon and a “To Group and Class” button.

As indicated in the note, a gavel icon indicates that the corresponding trademark effective date will be on or after “Coming into Force” (CIF).

You may wish to group and class your goods/services according to “NICE”. You can do this by using the Goods and Service classification application or the “To Group and Class” button.

After a search for trademarks is performed, the gavel icon and To Group and Class button may appear within the Trademarks to be renewed table.

Renew a Trademark

Prior to renewing a trademark, you can review the details by clicking on the name within the “Trademark” column.

Once selected, you will proceed to the “Trademark Details” web page. This web page allows you to view all the particulars of the trademark and you can ensure that the correct trademark application has been selected.

From the “Trademark Details” web page, you can select the “Renew” button to renew the trademark or you can select the “Back” button which will return you to the “Renewal Search Results” web page.

From the “Renewal Search Results” web page, you can select one or many trademarks within the “Actions” column and renew the trademark by placing a check mark in the box and clicking on the “Renew” link.

You can also use the “Renew All” or “Renew Selected” buttons located near the bottom of the web page to renew a trademark.

After making a selection to renew a single Trademark, you will be directed to the “Renew a Trademark” web page.

After reviewing the details of the trademark, select the “Save and Proceed to Cart” button in order to add the Trademark Renewal item to the “Cart”.

You can use the “Cancel” button to return to the “Renewal Search Results” web page.

Cart

The “Cart” feature is available to both “Agents” and authorized users.

You can select “Cart” from the main menu in order to view a list of all selected trademarks that you wish to register, renew and/or request an extension of time.

Selecting the “Edit” link will lead you to the “Renew a Trademark” web page where you can make revisions to the Trademark renewal.

Selecting the “Remove” link will prompt a confirmation pop-up window confirming the removal of the Trademark from the cart or cancel the request.

Payments

As indicated in the important “Note” within the Cart web page, upon proceeding to make a payment, the cart contents will be validated and the payment web page will be displayed.

You can select the “Empty Cart” button to remove all items within the Cart.

Additionally, you can select the “Proceed to Payment” button which forwards you to the “Payment” web page where amounts can be submitted.

Finally, you can select the “Pay using Credit Card” button which forwards you to an external 3rd party payment site.

Note:

Only authorized users from CIPO Finance can view / use the “Pay with CIPO Deposit Account” button within the Cart web page.

History of Transactions

The “History of transactions” feature allows you to search your Trademarks Registration and Renewal application history by using various criteria.

You can search your history by using the following criteria:

  • Transaction Type
  • Application Number
  • Trademark Name
  • Confirmation Number
  • Start Date
  • End Date (mandatory field)

Your search results will be listed in a table format and the columns can be manipulated as follows:

  • The “Transaction Date” column can be sorted from most recent date to oldest (and reverse)
  • The “Status” column can be sorted from “Registration Unknown”, “Renewal in Process”, and “Renewal Pending”
  • The “Trademark” column can be sorted alphabetically (A to Z) and (Z to A)
  • The “Application Number” column can be sorted by lowest application number to highest application number (and reverse)
  • The “Documents” column can be sorted by no receipts to receipts
  • The “Previous / Next” feature allows you to view the next amount of entries

Located above the table are “What does the status mean?” that explain the status.

Status information can be obtained by “expanding” the left indicator to “What does the status mean?” title.

Receipts

You can review an individual or group receipt for a trademark application by selecting either the “HTML” or “PDF” links located within the “Documents” column.

Once selected, you will be directed to a web page that contains an “Electronic Payment Receipt”.

Once the “Electronic Payment Receipt” has been reviewed you can perform the following functions:

  • Close the web page containing the electronic receipt by closing/exiting the “Tab” within your internet browser (note: located near the bottom left corner of the HTML web page is a “Close” icon that can also be used)
  • Print the web page containing the electronic receipt by using the “Print” feature within your internet browser
  • Save the web page containing the electronic receipt by using the “Save as” feature within your internet browser

You can perform a new search by selecting the “Perform a new search” button located at the bottom on the “Search Results” web page.

Selecting the “Perform a new search” button will return you to the “Search History of Transactions” web page where you can enter new search criteria.

Problem Report

If you are experiencing technical problems, you can select “Problem Report” from the main menu. This will forward you to a “Technical Problem Report” web page.

The Technical Problem Report web page allows you to enter information pertaining to your technical problem.

When you have completed entering all of the problem information, select the “Submit” button.

You will receive a response from a Technical Support Agent within a short time frame.

Logout

In order to exit the Trademark Registration and Renewal web application, navigate to the left main menu and select “Logout”.

You will exit the Trademark Registration and Renewal web application and be notified with a “You have successfully logged out” message.

Calendar Feature

Located within the “History of transactions” web page is a “Calendar” feature / icon.

You can select the calendar icon to launch the calendar and pre-populate the date field.

Mandatory Fields

Throughout the Trademarks Registration and Renewal web application there are fields marked with a red asterisk (*).

These fields are mandatory and information must be entered within these marked fields.

Timeout Session

After a period of inactivity within the Trademarks Registration and Renewal web application, you will be prompted with a pop-up window.

Select the “OK” button to extend your session within the Trademarks Registration and Renewal web application.

Select the “Cancel” button to cancel your session within the Trademarks Registration and Renewal web application. After the cancel button is selected, you will return to the “Login” web page.

Tooltips

Throughout the Trademarks Registration and Renewal web application there are many graphical icons and hyperlinks represented within the web pages. When your mouse pointer hovers over such items, without clicking on them, this will allow you to view information on the graphical icon or link. This feature is commonly called an “infotip”, “hint” or “Tooltip”.

Tooltips are displayed when you roll over an icon with the mouse cursor. It may take a second or two to display the tooltip, but when it does appear, it usually is a small box with a shaded background explaining what the icon or link represents.
